Project Overview
The POST Method is a framework for structuring meetings to ensure they are purposeful and efficient. I created an infographic to support organizational leaders in applying the method, helping reduce unnecessary meetings while increasing productivity when meetings are necessary.
Business Problem:
Many employees experience “that could’ve been an email” moments, and the shift to remote work has amplified this issue. According to a survey conducted by Organizational Psychologist, Steven Rogelberg, most employees considered only 50 percent of the meetings they attended to be time well-spent. This meant the other 50 percent of meetings were deemed wasteful.
To put this into perspective: 12 hours spent in meetings each week = 48 hours per month, which = 576 hours per year. If 50 percent is spent being unproductive, you have now wasted 288 hours (which equates to 36 full working days, or 7 work weeks) on nothing.
Leaders often lack formal training on how to run meetings effectively. Without clear structure or guidance, meetings can be unnecessarily long, inefficient, and misaligned with business goals.
My Role
As the Instructional Designer, I:
Researched meeting challenges through interviews and literature review
Identified gaps in knowledge and skills for conducting effective virtual meetings
Designed and developed a concise, practical infographic job aid
Iteratively refined the infographic based on stakeholder feedback
My Design Process
I used action mapping to determine the most efficient solution. Training was unnecessary for this skill gap; instead, a job aid would provide immediate support.
I combined insights from interviews with project managers and research from organizational psychology to ensure the resource addressed real-world challenges. The infographic was designed to guide leaders through each step of the POST Method, highlighting questions to ask and decisions to make.
Solution
The final solution was a concise, visually engaging infographic that:
Outlined each step of the POST Method clearly
Provided questions and prompts to guide meeting planning and facilitation
Used Canva for readability, visual hierarchy, and easy distribution
The infographic serves as a practical, on-the-job reference for leaders to quickly plan and facilitate meetings without additional formal training.
Impact
The infographic was piloted by a project manager, who reported:
